RydeAide Privacy Policy (Pilot)

RydeAide, LLC (“RydeAide,” “we,” “our,” “us”) respects your privacy. This Privacy Policy explains how we collect, use, and protect information when you use our services during the pilot program.

1. Information We Collect
• From Families & Facilities: Contact name, phone/email, and appointment details.
• From Mobile Care Aides (MCAs): Name, contact details, W-9, background check consent, and training records.
• Service Details: Appointment dates, locations, and de-identified appointment codes.
We do not collect or store unnecessary medical information. Any health-related details are handled only through HIPAA-secure tools (Spruce Health, Jotform HIPAA).

2. How We Use Information
• To match families/facilities with trained Mobile Companions/Escorts Aides.
• To manage schedules and confirm appointments.
• To process payments securely through Stripe.
• To maintain safety, compliance, and recordkeeping.

3. How We Protect Information
• Health-related information is stored only in HIPAA-compliant systems.
• De-identified scheduling data is used in Airtable for management.
• Google Workspace is used for secure storage of contracts and business records.
• Access is restricted to authorized RydeAide staff only.

4. Sharing of Information
We do not sell or share your personal information with third parties, except as needed to:
• Process payments (Stripe).
• Run background checks (Checkr or similar).
• Comply with legal requirements.

5. Data Retention
• PHI stored in Jotform/Spruce is retained up to 12 months, then archived or deleted.
• MCA tax and contract records are retained for the legal minimum (7 years).
• De-identified scheduling records may be kept indefinitely for analytics.

We may update this Privacy Policy as the pilot expands. Updates will be posted here with a new “Effective Date.
